Steps

  1. 01Run the absence test and look at the founder bottleneck. Ask what happens if you vanish for two weeks: would leads still come in, would clients be supported, would revenue still process? Once you reach 10 to 20 clients a month, add people and systems to take decisions, contracts and welcome emails off your plate.
  2. 02Follow up with every lead fast. Leads contacted within the first hour convert at seven times the rate of those contacted after 24 hours. Set up a system so no form, DM or email reply sits unanswered, and keep it sounding like you.
  3. 03Make onboarding consistent but personal. Clients are most committed the moment they sign, and every day of waiting adds doubt. Research shows churn risk rises if onboarding takes longer than 14 days, so build a tailored, repeatable first two weeks.
  4. 04Document your delivery. Write down the language you use in each session, your frameworks, your check-in process and how you handle resistance. If it only lives in your head, nothing can be handed over.
  5. 05Stop depending on launches alone. Launches work, but one failed launch or algorithm change should not wipe out revenue. Add retainers, continuations and memberships so income keeps coming between launches.
  6. 06Ask for re-enrolment at the end of every program. Hold a short conversation when the client is most engaged and offer a natural next step. A 5% improvement in retention can lift profitability by 25 to 95%, and keeping a client costs far less than finding a new one.
  7. 07Change how you price. Charging by the hour or session has a hard ceiling. Add group programs, memberships, licensing, productized services or digital products, and keep one-to-one coaching as your high ticket option.
  8. 08Position around AI instead of competing with it. Generic frameworks and accountability tools are being priced to zero. Use AI tools to support your expertise, and lead with your story and the care you give clients.
  9. 09Build a referral system. Ask at the point of peak satisfaction, track who referred whom, and consider a bonus for the referrer or a discount for the new client. Do not just hope your happiest clients mention you.
