About The Client Architecture

The Client Architecture is our own product: a done-for-you follow-up system for independent coaches. It watches the coach's calendar, and every discovery call gets a follow-up sequence written by AI in the coach's own voice, sent from the coach's own inbox.

The Challenge

Coaches lose sales they already paid for with the ads, the content and the call itself, because the week gets loud and the follow-up slips. Generic automation isn't an answer: it sounds robotic, and the people who need it most are not technical.

What We Built

We built a two-layer voice profile: structured style attributes plus a curated set of the coach's real messages, so every draft reads like the coach wrote it. Drafts surface 24 hours before sending for a one-tap approval, then go out through the coach's own Gmail. Seven calendar providers plug into one integration layer, and durable workflows handle the whole lifecycle: sequences, replies, bounces, no-shows and re-engagement.

Follow-up sequences, replies, bounces, no-shows and re-engagement normally eat 4–7 hours of a coach's week. The system does all of it, leaving a minutes-long approval pass — call it 20–28 hours a month, or 250+ hours a year handed back for coaching, content and rest.

At a modest $100/hour billable rate, the 4–7 reclaimed hours a week are worth $1,700–3,000 a month. It's also the work a part-time VA would charge $800–1,200 a month to do — without the hiring, training or 'that doesn't sound like me' rewrites, since the AI writes in the coach's own voice.

The system recovers 1–2 clients a month who would otherwise have slipped away after the discovery call. At typical coaching packages of $1,500–3,000, that's $1,500–6,000 in monthly revenue rescued from leads the coach already paid for with ads, content and the call itself.

The Client Architecture is a managed service, so there is no build fee. The coach pays $30 a month, and their own AI drafting costs top out at about $10, so a full year costs $480 at most. We calculate the return on the floor case, not the average: assume the system recovers a single client in the entire year, at a $2,500 package, and count none of the reclaimed hours. $2,500 against $480 is a ~400% return. In practice it recovers a client or two a month, and each additional one adds another 500 percentage points on top.
